Position Overview

The Special Events and Marketing Coordinator provides high-quality administrative, operational, and project support to the firm owner under the direction of the Executive Assistant. This position is responsible for coordinating special events, conferences, and marketing initiatives, with a strong focus on execution, logistics, and organization, ensuring the smooth operations and successful delivery of events and projects.

While on-site at conferences and special events, you take the lead and represent the firm. You are responsible for ensuring logistics run smoothly, the brand is professionally represented, and the overall event experience reflects VetCPA’s standards. 

This role also liaises closely with our external marketing agency to coordinate campaigns, digital initiatives, and brand execution. While you are not responsible for leading the overall marketing strategy, this role ensures alignment, follow-through, and quality execution.

This position is well-suited to someone who is detail-oriented, proactive, and comfortable balancing executive support with hands-on conference coordination and marketing execution work.

Special Events & Conference Coordination

  • Coordinate and take the lead on managing all logistics pertaining to conferences, trade shows, and special events, including registration, booth setup, shipping, and vendor coordination

  • Manage booth assets, signage, swag, and event materials

  • Travel to events, as required, to support on-site execution

  • Ensure event logistics and on-site experience are executed smoothly and professionally

  • Coordinate staffing and schedules for conferences and assist with attendee engagement at special events

  • Coordinate travel arrangements and itineraries related to all events and conferences

  • Troubleshoot on-site issues as they arise

Marketing & Digital Support

  • Act as the day-to-day liaison with the marketing agency for marketing campaigns, task coordination and updates

  • Support pre- and post-event marketing activities, including reminders and follow-up communications

  • Coordinate with the marketing agency for social media posting, scheduling, and monitoring across key platforms when required

  • Capture event content (photos, videos, testimonials) for social and digital use

  • Make minor website updates related to marketing initiatives 

  • Coordinate larger website or digital updates with the marketing agency

  • Maintain marketing collateral, presentations, brand files, and digital assets

  • Ensure brand consistency across marketing materials

Executive & Administrative Support

  • Provide excellent, pragmatic service by delivering practical, efficient, and high-quality solutions focused on what clients care about

  • Provide administrative and operational support related to events, marketing initiatives, and special projects, ensuring leadership priorities are executed efficiently

  • Order event and office supplies as required

  • Liaise with vendors, industry partners, current and prospective clients, and internal teams

  • Mail documents and manage administrative logistics as needed

  • Conduct research when required to support events, projects, or initiatives

Special Projects & Ad Hoc Support

  • Assist with special projects and ad hoc duties as assigned

  • Support internal initiatives that improve organization, efficiency, or client experience

  • Approach all work with a solutions-oriented mindset - no task is beneath you if it helps the client or firm succeed

  • Research, evaluate and recommend new conference and marketing opportunities as needed

Qualifications and Requirements

Skills & Experience (Technical abilities and proficiencies required to perform the job)

  • 1-4 years of experience supporting event coordination, experiential marketing, or digital initiatives

  • A strong comfort with technology, learning new software, and the ability to troubleshoot tech issues independently, as the role is primarily remote

  • Strong written and verbal communication skills

  • Creative problem-solving ability with strong attention to detail

  • Strong project management, organizational, and time-management skills

  • Regular availability for and comfort with travelling (typically within Canada) and working onsite at conferences and events

  • Strong proficiency in Google Workspace and Microsoft Office (Word, Excel)

  • Comfortable using video conferencing platforms

  • Experience with job or project management software to support organization and execution

  • Experience in scheduling and managing social media content using social media management tools

  • Experience making basic website content updates 

  • Familiarity with basic accounting terminology and practices would be an asset

  • Experience with CRM or lead management tools is considered an asset

Education

  • University or college degree in Office Administration, Marketing, Communications, or an equivalent combination of relevant experience and certifications

Additional Information

  • This role may require occasional extended hours during peak event periods.

  • Travel will be required for conferences and on-site event execution 

  • The salary range will be based on experience: $60,000-$90,000

  • Hybrid work arrangement - mostly remote with 1-2 days per week in the London office
